Terms of Service

Last updated: February 15, 2026

1. Acceptance of Terms

By accessing or using MeetingBrain.AI ("MeetingBrain", "the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. If you are using MeetingBrain on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. Description of Service

MeetingBrain is a productivity tool that connects to your Google Calendar and Google Docs to automatically extract action items from meeting notes. It uses AI to analyse meeting content, create tasks, and generate intelligence dashboards. The Service requires a Google account and permission to access your calendar and documents.

3. Account & Access

Access to MeetingBrain is currently by invitation or admin approval. You are responsible for maintaining the security of your account. You must not share your credentials or allow others to access your account. You must provide accurate information and keep your account details up to date. We reserve the right to suspend or terminate accounts that violate these terms.

4. Google Account Permissions

MeetingBrain requires access to your Google Calendar, Google Docs, and Google Drive to function. By granting these permissions, you authorise us to read your calendar events and meeting note documents as described in our Privacy Policy. You may revoke access at any time through your Google Account settings. Revoking access will prevent MeetingBrain from scanning new meetings but will not delete previously extracted data unless you also request account deletion.

5. AI-Generated Content

MeetingBrain uses artificial intelligence (Anthropic's Claude) to extract tasks and generate insights from your meeting notes. AI-generated content may contain inaccuracies, omissions, or misinterpretations. You are responsible for reviewing and verifying all tasks and insights before acting on them. MeetingBrain is a productivity aid, not a substitute for professional judgement. We do not guarantee the accuracy, completeness, or reliability of any AI-generated content.

6. Acceptable Use

You agree not to:

Use MeetingBrain for any unlawful purpose or in violation of any applicable laws. Attempt to gain unauthorised access to the Service or its systems. Interfere with or disrupt the Service or servers. Use the Service to process sensitive personal data (health records, financial data, etc.) beyond what is incidentally present in meeting notes. Reverse engineer, decompile, or attempt to extract the source code of the Service. Resell or redistribute access to the Service without our permission.

7. Data Ownership

You retain ownership of all data you provide to MeetingBrain, including your meeting notes and any content in your Google account. You grant us a limited licence to access, process, and store this data solely to provide the Service. Tasks and insights generated by the AI are derived from your data and belong to you. We do not claim ownership of your data or AI-generated outputs.

8. Team Features

If you use MeetingBrain's team features, team administrators may have visibility into team members' tasks, meeting summaries, and dashboard data. By joining a team, you consent to this shared visibility within your organisation. Administrators can enable or disable specific dashboard features for team members.

9. Service Availability

We aim to provide reliable service but do not guarantee uninterrupted availability. The Service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control. We are not liable for any loss or damage resulting from service interruptions.

10. Limitation of Liability

To the maximum extent permitted by law, MeetingBrain and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability shall not exceed the amount you paid for the Service in the 12 months preceding the claim. This limitation applies regardless of the form of action, whether in contract, tort, or otherwise.

11. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will meet your requirements or that AI-generated content will be accurate.

12. Termination

You may stop using MeetingBrain at any time by revoking Google access and requesting account deletion. We may suspend or terminate your access if you violate these terms, or for any other reason with reasonable notice. Upon termination, your right to use the Service ceases immediately. Data deletion upon termination is handled as described in our Privacy Policy.

13. Changes to Terms

We may update these terms from time to time. We will notify you of material changes by posting the updated terms on this page. Your continued use of MeetingBrain after changes constitutes acceptance of the new terms.

14. Governing Law

These terms are governed by the laws of [Your Jurisdiction]. Any disputes arising from these terms or the Service shall be resolved in the courts of [Your Jurisdiction].
